Winter Woodland Christmas Party Décor Central London
As recommended seasonal décor suppliers for the Royal Society of Arts, Covent Garden’s events spaces we were approached by Wildstone Capital to assist with the transformation of the historic vaults for their Christmas party. As this occasion was to be their first time hosting an event at this venue our team’s familiarity with the spaces and experience in working within the limitations and sensitivities of the space was a perfect match for the event organisers.
Providing a range of winter woodland meets après ski theme décor our stylists created table centrepieces, full-size faux tree clusters with alpine props, lighting, and additional décor for use around the venue including the bar and side tables.
Client and venue background
As an event for a section of the wider team from Wildstone Capitals London office, the event requirements included bringing a non-denominational and inclusive winter scheme to the space to enhance the venue’s already impressive and stunning subterranean vaults. Particular attention needed to be paid to both budget limitations due to this event being one element of the wider corporate end-of-year celebrations and time restrictions due to a limited setup and take-down window around other scheduled events at the busy RSA venue.
Design Proposal
Our team of creative designers built and pitched the proposal of a chic après ski meets winter woodland scheme for this event with a focus on snowy style greenery and décor which would take on the aesthetic colour tones of the venue's abundant coloured uplighting, aiding in a cohesive and visually impressive décor scheme with minimal installation items.
Table centrepieces were designed around real candle clusters at the request of the client, which we placed in clear pillar vases to comply with the venue's open flame policy due to its historic building status. The light glass also worked to reflect the warming candle tones, and the coloured surrounding uplighters providing a soft glow to the tablescapes. Surrounding these, a mix of real look flocked faux winter foliage and large pinecones, with fresh seasonal greenery including fir, pine and blue spruce. This placed foliage style centrepiece created a wild and natural design to soften the table aesthetics and bring the snowy alpine theme through to the dining space.
Installation process
Working closely with both the client and the venue we created an install plan to ensure a swift and efficient set-up within the time constraints and to ensure that take down and pack up could be as efficient as possible also. This included preparing and decorating trees ahead of the event before packing them into specifically designed tree transport cases.
Once the installation process was complete our two stylists remained close to the venue in order to return twice, once to assist in the takedown of the dining space in vault 1 part way through the event, and then again at the end to fully take down, remove décor and return the space to it’s original condition.

Christmas Event Décor FAQ’s
What is the typical timeline for designing and installing a scheme of this scale and style?
A design and installation similar to this case study can be planned and confirmed far in advance of the event or within a relatively shorter timeframe, as was the case with this client, with the full enquiry to delivery process taking around 4 weeks. We have a large in-house stock of many themes and styles at Hall and Co, providing us with the opportunity to be adaptable and assist with fast-turnaround projects wherever possible. A great resource for this is our preset scheme packages, suitable for those requiring a shorter design and proposal timeline or facing stricter budget constraints. We also offer a wider collection of inspirational schemes on our Pinterest page, which clients may request as the basis of their proposal for a faster process.
Are there any restrictions or limitations on the venues and spaces where we can install Christmas décor? As experienced stylists at Hall and Co event design, we collaborate closely with clients from the initial enquiry to delivery stage to ensure our designs adhere to the restrictions and requirements of the venue and intended decor spaces. We arrange site visits where possible to assess factors such as access, installation securing methods, and safety considerations for our team, the clients, and their visitors. With our experience working within historic buildings, we understand the sensitivities involved and strive to create designs that respect and complement these unique settings. Our dedication to detail and quality ensures that every element of our proposals and finalised designs meets the venue's requirements and limitations.
